We’re excited to announce Deal Assist, a new artificial intelligence interface that answers your deal-related queries about a company in your network. Deal Assist works by processing and analyzing the notes and PDFs you have captured for a specific company, saving you time spent compiling, synthesizing, and analyzing data so you can quickly get answers that will help you move your deals faster.

How to set up your account for Deal Assist

Before you begin, please note that Deal Assist is only available for Advanced and Enterprise tier customers.
  • Deal Assist works by analyzing the notes, transcripts, and file attachments associated with a company to give you answers to your deal questions.
  • Affinity has it made easy for you to capture notes and sync email attachments with two features included in your Advanced/Enterprise subscription:
  • Affinity Notetaker - By turning on Affinity Notetaker, Deal Assist will be able to use the discussions and topics from your meetings to answer you or your team’s questions (see How to turn on Affinity Notetaker).
    • Example: Ask questions related to financial discussions you’ve had with a founder.
  • Automatic File Upload - By turning on Automatic File Upload, you can easily select which files you want uploaded to Affinity and for Deal Assist to read to answer your questions (see How to turn on Automatic File Upload).
    • Example: Ask questions related to what is in a pitch deck that you’ve received.

How to turn on Affinity Notetaker

Please note that Affinity Notetaker is only compatible with the Zoom, Microsoft Teams, and Google Meet. Once you confirm you have access to one of the following tools, please follow the steps below:
  1. Click on Settings to access your Notetaker settings.
  2. Click the Notetaker tab, then select your preference for Automatic Scheduling and naming your Notetaker. Finally, click Save on the top-right corner.
  3. Now that you’ve set up Affinity Notetaker, click the Meetings tab on the left side to see all your synced meetings from yesterday, today, and up to 2 weeks from today.
  4. Click the toggle that appears for each meeting to ensure that Affinity Notetaker joins as a participant. If the meeting has already started but you forgot to turn the toggle on, no worries. Simply click the toggle and Affinity Notetaker will join the meeting right away.
  5. Important for Zoom users - Zoom requires the following setting to be enabled for each person using Affinity Notetaker to allow meeting bots to transcribe calls:
    1. Go to your Zoom Settings on the web app (not the desktop app).
    2. Then, click the Recording tab.
    3. Turn on the toggle next to Record to computer files.
    4. Last but not least, click the checkbox for Hosts can give meeting participants permission to record to their computer. This can be done on an individual basis by each user, or the Zoom admin can turn it on for all users across the team.
Note: Despite setting this up from your end, your Notetaker may not be able to join a Zoom meeting if an external is the host and they either do not join the meeting or do not allow set this up from their end.

How to turn on Automatic File Upload

  1. Click on Settings on the left side panel.
  2. Click the Email Accounts tab on the left sidebar and see the Automatic File Upload section.
  3. Add the list(s) that you approve of for automatic file uploads. Now, any email interactions you have with people on these approved lists will have the attached files auto-uploaded to their respective profile pages.
Note: If you add organization lists for auto-uploads, only the files associated with people’s email addresses that match their organization’s domain will get auto-uploaded to their respective organization’s profile page.

How to use Deal Assist

  1. You can easily access Deal Assist in two areas:
    1. On the bottom-left corner of the global navigation bar.
    2. The Deal Assist button that appears when on an organization’s profile page.
  2. Once you click on the Deal Assist button, you should see a slideout appear from the right side of your screen:
    1. You can select one of the suggested questions to get started.
    2. You can also change the organization you’d like to ask a question about.
    3. You can also ask your own question.
  3. Deal Assist will generate a response by analyzing all notes and PDF files that you have access to for that given organization (and occasionally referencing Affinity Data’s Description field when available). The response will include annotations and footnotes to the specific notes and PDF files that it gathered information from. You can click on these notes and PDF files to open them in a separate tab.
  4. On the bottom-right corner of each response, you can also click the Copy icon to copy the answer and paste it elsewhere (e.g. on a note or another document), or click the Trash icon to delete the question and answer entirely.

Important Callouts

  • Deal Assist is currently available on the CRM web app only, not on Affinity’s mobile apps or extensions.
  • Deal Assist is currently available on organization profile pages only, not on people or opportunity profile pages.
  • When Deal Assist is generating a response:
    • Advanced tier: Deal Assist will only look at the uploaded PDF files and notes for a given organization and their associated people and opportunities. Deal Assist will occasionally reference Affinity Data’s “Description” field when available.
    • Enterprise tier: Based on sharing permissions, Deal Assist will not look at uploaded PDF files and notes that you do not have access to for a given organization - it will only look at those that you have access to. Deal Assist will occasionally reference Affinity Data’s “Description” field when available.
    • Deal Assist will not look at any synced emails/meetings, enriched data, and other list data at this time.
    • Coming soon: Deal Assist will eventually be able to look at transcripts generated from Affinity Notetaker as well. At this time, Deal Assist will only look at the summarized notes generated from Affinity Notetaker.
  • The responses generated from Deal Assist will only be visible to the user who asked the question. To share these responses with other team members, click the Copy icon to copy the answer and paste it elsewhere (e.g. on a note or another document).
  • There is no storage limit for the number of responses generated.
  • The responses generated by Deal Assist will remain unless you explicitly delete them by clicking the Trash icon.
    • If certain notes and PDF files get deleted or you no longer have access to them, any responses generated from them will remain as is - you simply will not be able to them despite their references still appearing in the generated response.
  • Your team members may receive different responses to the same question based on the different files and notes that they have access to.
  • You may receive different responses to the same question for a given organization based on the following factors:
    • If people and/or opportunities get associated or disassociated with the given organization, which leads to Deal Assist considering or disregarding the notes and PDF files associated with those people when generating a response.
    • If notes and PDF files associated with the given organization either get removed or have their sharing permissions changed by no longer being shared with you.
    • If new notes and PDF files related to the given organization are added over time.
  • Deal Assist will only consider PDF files uploaded to the given organization’s profile page and their associated people/opportunities. PDF files that have been detected but not yet uploaded will not be considered when generating a response.
  • If you added a note/uploaded a PDF file and want Deal Assist to consider this new information when generating a response, please wait 5 minutes before asking Deal Assist.
  • If PDF files have been uploaded automatically through the Automatic File Upload feature, please wait up to 1 hour after you receive the email containing the PDF file before asking Deal Assist.
